NASA MId-Ohio Meet April 9-10, 2011

Well... after breaking the PPF... I'm not so sure I'm comfortable with everything else on the car. Kinda glad I haven't registered yet. I'll be supervising the corral and being myself. It'll be a good time.

LOL. I can be the official "Mess with the waitress and say extremely inappropriate things to her" guy... if there were waitresses there. LOL

But in all seriousness. If we get the turnout that we're hoping for, someone's gonna have to keep these jokers in line!

so umm.... this is coming up pretty soon and we haven't decided on an admission price (if we're charging for it), are we even going to have registration or are we just expecting people to show up? if we're trying to "replace" mazdafest and we do registration, would we offer goodie bags? t-shirts? we haven't talked about this at all. having people register and pay can help us raise more money BUT we would need to offer an incentive, and we would need to establish who will handle the money/registration list

Also, we need to confirm the site is being distributed along the forums and other social media we can access, i believe so far we haven't done that...

anyone?

I keep forgetting this is going to be a "meet" too. I thought it was more like a "We're all going to be at Mid-Ohio anyway so why not make it a "meet"?". With a lot of the members running HPDE or Hyperdrive it's going to be hard to organize everything and keeping things flowing when people are running back and forth to the track, no?

Why doesn't MWMF exist anymore? We should just have a huge meet in C-Bus or something in the summer.

ps- I'm not trying to be a Debbie downer and I'll help out as much as I can. Just thinking outloud.

That's what I'm here for. I keep s*** in check.

MWMF... I think the Indy RX8 club is pretty much dwindling off as far as activity goes. Lots of work and no real help. It's a b**** to put something like that together. We should have a huge meet in C-bus, and I've been saying for 2 years that I was going to make it happen. I haven't done it yet tho.

i brought it up because i was making a flyer to promote the event at work and ended up with a few unanswered questions, after thinking about it we should not have registration, if someone wants to enter their car in the show then we'll charge $5 or $10 bucks as entry fee. also, since the idea is to have the car show with a "voting box", we need to find said boxes and have them available as we don't know how many cars we'll have. will there be trophies for the winners? if so then we need to have them made

I'll be doing HPDE and i've been trying to find the NASA schedule on their site but haven't been able to so I can't commit to helping out with something, i'll still help whenever i'm not on the track. basically we need to define who will help with:

1. greet people and guide them around (restrooms, concessions, viewing areas)
2. promote and sell tickets for the raffle and ride alongs (give out boxes for the car show?)
3. supervise car show, organize cars so they don't interfere with NASA activities
4. coordinate ride alongs with HDPE drivers
5. coordinate raffle
6. maybe we can sell some t-shirts and decals?

I guess I missed the part where this has become a "meet". After already dropping $360+ on a full HPDE weekend I'm not sure I really want to spend more money than I absolutely have to. Also in regards to the "meet" anyone doing HPDE is going to be pretty busy throughout both days (4 track events + classroom sessions each day) so I'm not sure how much time we will have for "other" stuff. After hours is also going to be tricky because the NASA crew holds a big cookout thing on Saturday and everyone will be leaving on Sunday. Like Evan, I'm not trying to be a downer, just trying to make sure everyone is aware of what's going on. Also, remember passenger's are only allowed in HPDE 2 and higher.

If we were to make an official "meet" I would think doing something like a corral at a Rolex race would be more appropriate.

Okay, my thoughts on the car show--

Saturday April 9th, 2011
Registration opens from 9AM until Noon.
Voting and car show is open Noon until 4 or 5

Possible Categories:
Best of Show (car not on track)
Best of Track (track ready car entered in show)
People's Choice (overall most money raised)
Best Mazda
Best other make
SC4k.com's choice (have a leader of SC4k on hand to pick their favorite)

I can look into trophies, but perhaps ribbons would be a cheaper option.

Here are the "rules"/ basics:

Registration is $5 to enter your car in the show. If we could have a certain area of the infield roped off for show contestants, that would be great! Registration starts at 9AM--you pay $5 and park in this special area... Starting at noon, spectators can come down and look at the cars. Each car will have a "penny jar" in which spectators can throw change or dollars to 'cast a vote'. Going until 4 or 5 pm, the car with the most votes wins! And there are a few other categories...(See above)

For containers, I'm thinking some sort of glass jar--although I'd like to be able to lock it. If anyone has ideas, let me know. I could also make some wooden boxes with locking latches. One key would open all the boxes, of course...

I have no problem running the show and raffle, especially if it happens on Saturday (hyperdrive is Sunday....). Let me know what is happening!

I like that, whoever is not running HPDE hopefully will help out as well. I've posted the link to the site on my FB, I'd like for other people to do the same so we can get the word out.

Phen, could you post it on the other forums as well?

With my unofficial count, I have 20-25 of us running in the event Hyperdrive, HPDE, Time Trials and or racing. I can get goody bags anytime, I can check with Dave about trophies, etc. As far as t-shirts, what is the design? My thoughts were just to have an impromptu meet, like we did a few years back at the Quaker State in Columbus. With NASA serving food and drink, no one had to spend money and could have a ggod time and check out the NASA event as well. I can tell you, my hands are full with Grand-Am and all of the corrals for 2011. We have a conference call scheduled for next week with John Doonan of Mazdaspeed Motorsports about VIR and the other events we have planned, Mid-Ohio, Lime Rock, Road America and Mazda raceway (Laguna Seca).

I can make arrangements for goody bags and obtain some raffle prizes, but if you are doing shirts, you need to get them started ASAP.....Let me know wha you need, as soon as you can and I will do what I can.

I think registration and shirts would be too much so the goodie bags would not be needed, maybe next year if things go well. I don't remember how this particular event became a support for charity, I guess it's my bad for assuming it was and including shoes and clothes for kids when chipmunk didn't get a response form the other ones.

raffle prizes would be what we need, i'll work on a "prize" for the show winners. Also, Marlon could you talk to Dave Royce so we can set up the rides @ noon when nobody else is running? I know they don't allow passengers for HPDE 1 & 2 but maybe he can make an exception for a few people so we can provide the rides. We won't be driving all out since that would be irresponsible but we can give people a good time, and that will allow less interruption on the NASA event. Maybe he can talk to the registered drivers to see who would be willing/able to provide the rides and we have a more accurate count on what's available to we don't sell too many ride tickets.

chipmunk has offered to help since he's only doing hyperdrive, my friend from the charity will help out and i'm sure we can find a few more people who will be available.

I can try to help out, I'll be busy with school, work and planning a wedding (mostly saying Yes honey if you like we should have that for the wedding)

My idea would be to see if we can get maybe 20-30 minutes of parade laps. I will see Dave wants to do......

I'll spread more details when you guys have your ideas finalized. Right now word is out on several forums of the event itself.

I think I'm going to come down to meet everyone and take some track photos. Not going to drive though because the weekend after I'm planning on driving with PCA.
